Human Resources Operational Adjustments

Human Resources will remain fully operational during normal business hours, however, will reduce its physical presence in favor of virtual operations wherever possible. Until such time as the COVID-19 event passes and normal operations resume, the department will be physically open by appointment only. This is a necessary step to ensure both the safety of HR staff and visitors as well as ensure that the appropriate resources are available to provide in-person service. Information regarding those services that must occur in-person and appointment scheduling can be found below.

 

Appointments & Walk-ins

Human Resources is suspending walk-ins until further notice and we will take customers by appointment only. Visitors who are interested in meeting face-to-face with an HR employee should schedule an appointment in advance. As part of the appointment scheduling process, an HR employee will make the customer aware of safety and PPE requirements they must abide by during their visit (wear a mask, maintain adequate social distancing, and so on). These requirements are described more thoroughly below. Please reach out to your appropriate consultant to make an appointment.

Human Resources is taking the following steps to help ensure safe employee and visitor safety while in our buildings:

  • Hand sanitizer and/or disinfecting wipes will be placed in public areas, particularly those that are frequently trafficked.
  • Plexiglass will be installed at the front reception area in Building 127.
  • Signage will be strategically placed around our buildings to help reinforce the desired employee and visitor behaviors (e.g., foot traffic flow, water fountain usage, elevator capacity, shared space usage, etc.)

 

Visitor (Employees and Non-employees) Expectations

It is HR’s expectation that any appointment that can be conducted virtually to be done so. However, it is understood that a limited number of services require an in-person presence to complete successfully. In such cases, visitors are expected to comply with COVID-19 best practices and should make themselves aware of their obligations prior to their visit, which include, but are not limited to:

  • Bringing with and wearing a face covering during the duration of their visit
  • Practicing social distancing during their visit and respecting the additional precautions being taken to avoid transmission of COVID-19 (e.g., abiding by the direction on posted signs, etc.)
  • Canceling an appointment if experiencing COVID-19 symptoms and/or were possibly exposed to someone with COVID-19

On-site staffing levels will be based solely on predefined necessity, so it is important that it is known in advance all the business a customer wishes to accomplish during their visit. For example, if an employee comes in to complete an I-9 but also needs to provide documentation to a Benefits Counselor, the customer needs to let that be known before their visit so resources can be coordinated.

In the event a visitor refuses to comply with any of the above requirements (and/or any other reasonable COVID-19 best practices), HR employees may cancel appointments and require they come back at another time. That also applies to visitors who show up without an appointment and expect to be provided service.
