Temporary Policies & Procedures
Classification & Compensation
To create a temporary position, an action will need to be submitted on People Admin within the Applicant Tracking System module. Classification & Compensation will review the job duties and assign it an appropriate classification and level. The job duties of similar positions are compared to the duties of the temporary position.
Career Banded and Broadbanded salary schedules have been developed for temporary positions and are used during the review process. These rates are compared to the classification and level of each temporary position to maintain equity.

Employment
31-Day Break
Temporary employees may work in an assignment for a period of 11 consecutive months or less, from the date of their first day worked. When temporary employees reach 11 consecutive months of service, the employee is required to take a 31-day break. It is crucial that both the department and the temporary employee be in touch with ECU Pirate Temps prior to returning to the University on a temporary assignment, as employee forms need to be updated.
All temporary employees must take a 31-day break in service after 11 months of continuous employment. There are no exceptions.
Payroll
All University staff employees, temporary and permanent, are paid on the 15th and last day of each month. The University has 24 pay periods every fiscal year with a two-week processing period for paychecks. Therefore, when you receive a paycheck it will be hours worked in the previous pay period, not for hours worked in the current pay period.
A schedule of the pay periods and their paydays is available at https://financialservices.ecu.edu/payroll/. All checks will be direct deposited into your account.
Timesheets
Timesheets are entered through Kronos to record all employee’s time keeping. Enter your PirateID and Passphrase, then click the icon labeled “Record Time Stamp” to record your time.
Parking
All temporary employees are given a temporary parking pass on or before the start date of their assignment. The temporary parking pass is valid for two weeks. After the two weeks have expired, please go to Parking and Transportation to purchase a parking pass. Currently, the parking pass is $5 a day or $20 a month for temporary employees.
ECU 1 Card
Once the temporary employee has been entered into the system and has received their PirateID and Passphrase, they may obtain an ECU 1 Card from the 1 Card Office. Temporary employees must present the “Information for Temporary Employee Form” to the 1 Card Office in order to receive their ECU 1 Card. When the assignment is complete, the employee must surrender their ECU 1 Card to the 1 Card Office.
Notice to Retirees
At the end of the temporary assignment, please provide a statement, confirming that you are not seeking permanent employment and are interested only in temporary employment.

Leave & Holidays
Temporary employees may be eligible for the Family and Medical Leave Act (FMLA). For more information, refer to Family and Medical Leave.
The work schedule follows the holiday/closing schedule for the University. Temporary employees are not paid for University holidays or closings.
During adverse weather conditions, temporary employees are advised to contact the site supervisor to determine whether the University will be open or closed. If open, employees will need to discuss whether reporting to work is required and/or possible based on weather conditions. Temporary employees are not paid for hours not worked during periods of adverse weather.
Recruitment & Selection
The role of a temporary employee is critical to the day-to-day operations of the university. Temporary personnel can fill in for unexpected or scheduled staff shortages, provide essential support during a work surge, or complete special projects. Temporary employees placed through our office gain valuable hands-on university experience in a variety of departments. Although permanent hiring decisions are not made through Pirate Temps, many ECU temporary employees have successfully obtained permanent employment with the University.

Hiring Managers should complete the Information for the Temporary Employee form to provide to their temporary employee. This allows the temporary employee to obtain an ECU 1 Card.

Separations & Transfers
Temporary employees must take a 31-day break in service after 11 months of continuous service.
Supervisors of temporary employees are encouraged to complete the Temporary Employment End of Assignment Evaluation form upon the end of the temporary assignment. The feedback provided will allow us to better place temporary employees in various positions at the university.
Temporary employees that have reached the end of their assignment are encouraged to contact the Coordinator of Temporary Services, Justin Atkinson, at atkinsonju23@ecu.edu or 252-328-9823, to set up an exit interview and/or discuss future temporary opportunities.
